When Shaheqa Real Estate relied on four separate systems for human resources management, daily operations required intensive manual work and constant monitoring for compliance, with the ever-present possibility of errors. Today, the company manages all human resources operations from a single platform, with real-time alerts and direct government connectivity.

Challenges before Jisr

Before using the Jisr system, Al-Shaheqa relied on a traditional ERP system to manage some operations, along with separate tools for payroll, additional solutions for attendance, and manual tracking of government platforms such as Muqeem and insurance.

This multiplicity led to:

  • Data fragmentation across multiple systems
  • Manual payroll preparation via Excel files
  • Periodic tracking of residencies and subscriptions without automatic alerts
  • Difficulty implementing appropriate attendance solutions for field projects

The HR manager at Shaheqa Real Estate explains: “The previous programs were very tedious... For example, you had to pull up an Excel file and calculate the employee's salary and deductions.” The payroll process relied on gathering data from multiple sources, increasing the likelihood of errors and consuming the team's time each month.

This lack of connectivity and integration directly impacted the team's performance, especially in areas such as compliance with the Saudi labor system, accurate tracking of employee records, and internal procedures. Tracking residencies required manual reports and constant review, exposing the company to the risk of delays or fines. Furthermore, fingerprint devices were not practical at external and field project sites.

The human resources manager at Shahqa Real Estate describes these difficulties: “It's natural for employees to forget with so many programs and systems.”

The solution with Jisr

Adopting the Jisr system provided a comprehensive solution to address all of the above challenges in a single platform. The experience with Jisr was not just about installing a system, but rather a journey from fragmented operations to integrated management.

  1. Comprehensive government connectivity: What most influenced Shahqah's work with Jisr was the system's ability to facilitate integration with government agencies, specifically the Muqeem and Social Insurance platforms. This connection has become an essential part of the company's compliance strategy, as it has helped reduce manual effort, minimize errors, and avoid delays that cost the company significant annual fines or disrupt procedures and projects. One of the challenges the team previously faced was relying on manual follow-up to track employees with residency permits, which required generating manual reports and periodically checking the status of each employee. With Jisr, the connection is now instantaneous, and alerts are automatically sent for everything related to follow-up with the Muqeem platform. The Human Resources Manager confirms: “Jisr is very useful in integrating with Muqeem... There is no need to intervene and pull up a report to see expired residencies every time... The alerts are immediate, and we are comfortable with this aspect.” This connection has enabled the Shahqah Real Estate team to plan and take early action when an employee's residency is about to expire, take the necessary measures without waiting for manual intervention or monthly reviews, avoid fines, and ensure that all official documents are ready at all times. Jisr also provided an easy and secure way to automatically upload and update employee data on the Social Insurance platform. Managing contributions became easier, and it became possible to track the status of each employee and verify their data without having to repeatedly log in to external portals. This integrated connection has saved the human resources team a lot of time and given them confidence that the system works in complete harmony with the Kingdom's legislative and regulatory environment.
  2. Payroll... Accurate management at the click of a button Previously, the payroll cycle went through several unrelated stages: collecting attendance data, reviewing absences, calculating deductions, and then transferring the figures to an external file for auditing. It simply relied on human intervention at every step. Any adjustment or exception meant going back to the file, recalculating, and verifying the match before final approval. With the bridge automating the entire process, it has become easier and more accurate; attendance and absence data, leave, allowances, and entitlements are all interconnected within the system, without the need for any manual work or data transfer between different systems. The human resources manager explains: “Al-Birul makes our lives much easier. All the data is in one place, right in front of you, and salaries are sent with the click of a button. Before, we used to spend the whole month doing this.” The payroll officer no longer needs to switch between files or refer to other departments for supporting data, as the system provides a comprehensive, accessible, and direct overview that can be easily communicated to the finance department or approved for payment.
  3. Attendance and departure The nature of Shahqa's work involves projects outside the main office, and relying on fixed fingerprint devices was not practical at every location, both in terms of cost and organization. The challenge was to have an accurate, trackable, and logistically uncomplicated means of attendance. Jisr provided mobile attendance with geolocation, allowing employees to clock in directly from project sites, with data appearing instantly in the system. The company's HR manager says, “Every employee who clocks in from their mobile phone appears directly on my screen, so there's no need for fingerprint devices.” This solution reduced the need for additional devices and gave the HR team a clear view of attendance without manual follow-ups or frequent communications.
  4. Internal request and report management Before Jisr, employee requests and administrative reports were scattered across different channels, making tracking and approval a difficult and slow process that required reviewing more than one source to complete. With Jisr, all requests are now in one place, easy to submit and track, with the ability to automate the approval chain according to the company's needs. This saves management time and effort in manual follow-up, enhances transparency, and avoids embarrassment with employees and managers.
  5. Technical support and the Jisr community In addition to the operational aspect, the HR manager pointed out the importance of technical support and responsiveness, as well as the Jisr community and the “Jisr Council” sessions that bring customers together to exchange practical experiences in human resources. “The technical support is always there... and Jisr Councils add to our experiences.” This aspect reinforced the confidence that the system is not just a technology, but a Saudi community and a continuously supported work environment.
Results

The HR manager at Shaheqa construction believes that Jisr has made a real difference to the company's operations, both in terms of efficiency and organization within HR management.

  • Reduced payroll and attendance processing time: Payroll preparation and attendance tracking are now seamless and performed through clear steps within the system, eliminating the need for external tools.
  • Precise data control without the need for external systems: Data sources were unified on a single platform, facilitating access to information and enabling quick and confident decision-making.
  • Ready-made reports eliminate manual calculations: Comprehensive reports can be generated in seconds, without any additional calculations, reducing errors and increasing efficiency.
  • Alerts minimize errors and avoid penalties: Automatic alerts helped the team monitor sensitive tasks such as expired residency permits or subscriptions, improving compliance and reducing risks.
  • Enhanced employee experience through a self-service employee application: Employees can now submit requests and track their data through a single, simple, and user-friendly interface, increasing their engagement and satisfaction.
