Shift Work

Shift work is a vital part of modern work systems, especially in sectors that require round-the-clock operations to ensure service continuity, such as healthcare, aviation, manufacturing, hospitality, and public services. So, what is a shift system? Why is it important for both the company and its employees? And how can the Jisr employee management software help you organize an accurate schedule and shifts?

What Is a Shift System?

Shift work is the distribution of working hours throughout the day and week, where employees take turns working consecutive shifts to ensure business continuity, meet operational needs, and keep production running. Shifts typically range from two to three per day and may include night or early morning hours. This system is used in many sectors, such as healthcare, logistics, manufacturing, and security services.

Why Is the Shift Work System Important for Companies?

Shift work is essential for certain types of businesses, as it offers numerous benefits to companies, most notably:

  • Ensuring business continuity: The shift system is essential for ensuring business continuity in companies that require round-the-clock operations, which helps provide services and products continuously without interruption and ensures that customer needs are met at any time of day.
  • Increased productivity: Distributing work throughout the day and night allows for the efficient use of every hour, enabling companies to achieve higher levels of productivity, reduce downtime, and utilize resources and equipment continuously to maximize their benefits.
  • Cost Reduction: Distributing work among multiple teams throughout the day helps avoid paying overtime wages and also reduces operating costs by spreading them out over the entire day rather than concentrating them during specific hours.
  • Responding to Emergencies and Meeting Growing Demand: A shift system ensures the ability to meet growing demand for services and products, while enabling a rapid response to emergencies or urgent situations.
  • Improving the user experience and ensuring satisfaction: Shifts enhance the efficiency of a company’s operational processes and provide continuous service that meets customer needs, addressing their issues and inquiries whenever they need the product or service, thereby boosting their satisfaction and loyalty.

What are the benefits of shift work for employees and workers?

The shift system is a suitable option for many workers, as it offers them numerous benefits, including:

  • Flexibility in Work Schedules: The shift system offers employees significant flexibility by allowing them to choose shifts that suit their needs, which contributes to a better work-life balance and helps many people—such as students—secure part-time employment opportunities.
  • Incentives for Better Performance: Some employees see working during non-traditional hours as an opportunity to excel and prove themselves, especially in less crowded work environments, where they can focus on demonstrating their excellence and achieving their professional goals.
  • Potential for Better Pay: Some companies offer higher pay to shift workers, particularly for night shifts and work on holidays, providing a financial incentive that helps increase employees’ income.
  • Opportunities for Training and Education: A shift schedule program provides opportunities for learning and professional development. During less busy periods, employees may have the chance to train in new skills or take on additional responsibilities.

Types of Shift Work

The employee shift schedule includes various forms of shift work, which differ depending on the nature of the work and the company’s needs. The most important of these are:

Fixed Shifts

Employees work the same shift every day without change. The shift can be morning, evening, or night. This type is suitable for employees who prefer the stability of a specific, recurring work schedule.

Rotating Shifts

In this system, shifts change regularly according to a rotating schedule. For example, an employee might work the morning shift for a certain period and then switch to the evening or night shift for another period. This helps distribute the workload evenly among everyone and avoids the burnout associated with working the same shift all the time.

Split shifts

Employees work shifts divided into two periods, such as working for a few hours in the morning and then returning to work for another period in the evening. Although this provides flexibility for employees, it can be exhausting due to the break between the two periods.

On-call shifts

A schedule is created for employees to work shifts as needed, in emergencies, or when there is a sudden increase in demand; employees receive notification of their shift only when it is needed.

Holiday or Weekend Shifts

Employees work on a shift basis during weekends or public holidays, particularly in industries or services that require continuous operation—such as hospitals, hotels, and restaurants—in exchange for taking time off or rest periods during the week.

What is a night shift according to labor regulations in the Kingdom of Saudi Arabia?

According to Ministerial Decision No. 18632 issued by the Saudi Ministry of Labor and Social Development, a night shift is defined as work performed between 11:00 p.m. and 6:00 a.m.

The conditions and regulations for night shifts include:

  • Providing a suitable work environment: The employer must provide a night work environment suited to the conditions of working at night in terms of lighting, safety, and basic services.
  • Health considerations: Take into account the health conditions of workers, such as conducting periodic medical examinations to ensure that night work does not adversely affect their health, while respecting the worker’s right to refuse night shifts if they have documented health reasons preventing them from doing so.
  • Rest periods: Work hours must be organized so that employees receive adequate rest periods, in compliance with Article (104) of the Labor Law regarding the regulation of weekly rest for all workers, with the rest period not being less than twelve hours, and rotating the worker back to regular work shifts after three months of night work to avoid exhaustion and negative effects on the worker’s health.
  • Compensation: An employee who works during night shifts is entitled to compensation in the form of benefits related to working hours, wages, or any similar benefits.

How do you design a shift schedule?

To design an effective shift schedule, you must carefully analyze work requirements, taking into account the sufficient number of employees needed to cover all required time periods. The following steps can be followed to achieve this:

  1. Specifying Key Elements: Such as the names of employees to whom shifts will be assigned and the dates of each shift.
  2. Selecting the Schedule Type: such as an individual schedule for a single employee, or a group schedule to organize shifts for multiple employees, in addition to the schedule’s timeframe—weekly, monthly, or annual. A weekly schedule is suitable for companies that rely on rapid changes in shift distribution, while a monthly or annual schedule may be more appropriate for companies that require long-term planning.
  3. Customizing Schedules According to Organizational Needs: It is important that the above elements be adapted to the nature of the work and the specific interests of each individual organization. Some companies may need a highly detailed schedule that includes additional specifics such as specific work locations or break periods, while others may be satisfied with a simpler schedule.
  4. Achieving balance in the schedule: Shifts must be scheduled and a balanced work schedule designed based on several criteria, such as: distributing difficult work periods evenly among employees; providing flexibility to allow employees to adapt to emergency circumstances; and ensuring a work-life balance for employees.
  5. Choosing the Right Software: Creating an accurate schedule requires the use of appropriate applications, such as the Jisr employee attendance management software, which offers scheduling features to modify and customize work schedules and shifts according to your preferences and business needs—such as setting work hours and defining the method of attendance tracking for each shift.
