Position Title: Field AAP Assistant
Department: MEAL
Duty Station: 1 for Aden–Basateen - 1 for Hadramout Mukalla
Reporting To: AAP Officer, MEAL manager
General Purpose of the Position
The field AAP assistant will assist the team in tracking progress of key indicators and provide timely reports to the accountability and MEAL Unit. He/She will be responsible for data gathering, collation, and reporting activities of the intervention and project activities.
The role of the field AAP assistant is to support the AAP Officer in the implementation of the M&E work plan and contribute to achieving and improving the quality of the program/project. He/She is responsible for carrying out accountability and MEAL activities in the field.
In addition, the field AAP assistant will be responsible for receiving complaints and feedback during the project period where also his / her main role is to record and follow up on addressing the cases following the donor and internal CFM mechanism, documenting and properly registering all cases in line with the established accountability procedures. He/She will ensure timely communication of feedback to beneficiaries and regularly report and submit compiled data and cases to the direct supervisor
Main Responsibilities and Tasks
· Work closely with the MEAL Officer to establish mechanisms for quantitative and qualitative data collection tools to ensure all MEAL requirements are met, including field monitoring.
· Plan and conduct field visits to monitor compliance with humanitarian standards, assess progress in activity implementation, evaluate service quality, and collect feedback and comments from beneficiaries.
· Collect data and conduct individual interviews and focus group discussions with beneficiaries to assess community satisfaction and follow up on the response to complaints.
· Monitor data quality and track the progress of project activities.
· Conduct regular field visits to ensure the quality and accuracy of collected data and to monitor progress of project activities.
· Participate in needs assessments by contributing to field surveys during the project design phase.
· Conduct baseline, end-line, and final evaluation surveys, including those required for projects, to measure levels of change.
· Verify beneficiary lists and submit verification reports to the line manager and project team.
· Participate in raising awareness among beneficiaries about complaints and feedback mechanisms and available channels.
· Receive complaints through the hotline and document them within the established Complaints and Feedback Mechanism (CFM).
· Collect and enter data for MEAL activities, including distribution monitoring and post-distribution monitoring (PDM).
· Conduct regular field visits to collect quantitative and qualitative monitoring data through individual interviews, group discussions, and direct observations to improve the quality of project activities.
· Conduct field visits to open complaint boxes and collect complaints and feedback from beneficiaries and non-beneficiaries at intervention sites and during MEAL activities.
· Act as a focal point for the complaints and feedback response mechanism by receiving complaints, recording them, and sharing them weekly with the MEAL Officer.
· Invest in learning opportunities and resources and work on self-development and professional capacity building.
· Provide suggestions and feedback that enhance organizational performance and inform relevant people of any issues that may affect the integrity, impartiality, or reputation of the organization.
· Comply with the organization’s systems, procedures, principles, and institutional values.
· Perform any other related tasks within the scope of the role as requested by the line manager.
Coordination and Reporting:
· Collaborate with relevant teams to ensure timely follow-up on complaints and feedback.
· Track the resolution of cases and provide updates to community members as appropriate.
· Assist in compiling regular reports on hotline activity, including trends, common issues, and feedback received.
· Support the analysis of data to identify areas for improvement in programs or services.
· Support the AAP officer in analysing the CARM suggestions and complaints received and preparing Bi-weekly and monthly reports
· Contribute to the documentation of CARM lessons learned.
Required Qualifications and Experience
Education
Skills and Experience
· Minimum 2–3 years of experience in Accountability or MEAL, with solid knowledge of M&E concepts and methodologies (quantitative & qualitative), and proven experience in data collection, collation, analysis, and report writing (Mobile Data Collection is a strong advantage).
· Strong data management and analytical skills, including strategic, critical thinking, and the ability to translate findings into clear, evidence-based reports.
· Excellent communication and active listening skills, with good command of spoken and written English, and the ability to effectively engage with diverse individuals while maintaining cultural sensitivity and ethical practice.
· Strong interpersonal skills with the ability to remain calm and professional under pressure, effectively multitask, prioritize, and work both independently and within a team.
· Proficiency in Microsoft Office applications (Outlook, Excel, PowerPoint, and Word) and the ability to organize and manage information efficiently.
· High level of professionalism and organizational capacity, demonstrating motivation, creativity, maturity, flexibility, team spirit, and commitment to the aims, values, and principles of the organization.
Languages
· Fluency in the following languages: Somali, Tigrinya, Amharic, or Oromo. )Preference will be given to candidates who are proficient in more than two of these languages).
· Professional working level in Arabic and English languages.
General
