Job Purpose:

To manage the front desk and act as the first point of contact for visitors and callers, ensuring a welcoming and professional environment while supporting administrative tasks and coordination.

Key Responsibilities:

  • Greet visitors in a professional, courteous manner and direct them to the appropriate person or department.

  • Answer, screen, and forward incoming phone calls while providing basic information as needed.

  • Maintain the reception area to ensure it is tidy, organized, and presentable.

  • Manage incoming and outgoing mail, deliveries, and courier services.

  • Assist with scheduling meetings, booking appointments, and coordinating meeting room usage.

  • Maintain records of visitors, calls, and front desk activity logs.

  • Support other administrative duties such as data entry, filing, and document preparation.

  • Handle general inquiries and provide accurate information to guests and employees.

  • Follow security and safety procedures related to access control and visitor management.

  • Coordinate with office support staff to ensure smooth front-office operations.

Qualifications:

  • High school diploma or equivalent (Diploma or degree in Administration is a plus).

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.

  • Proficiency in Microsoft Office (Word, Excel, Outlook).

  • Excellent communication and interpersonal skills.

  • Professional appearance and customer-oriented attitude.

  • Fluent in English (Arabic is an advantage).

  • Ability to multitask, stay organized, and maintain confidentiality.
