Job Title : ASR Assistant
Reporting to : ASR Officer
Location: Aden / Lahj (Kharaz Camp) / Other governorates as required
Job Purpose
To provide operational, administrative, and field-level support to Assisted Spontaneous Return (ASR) activities, ensuring that voluntary return movements are implemented in a safe, dignified, timely, and well-documented manner, in line with UNHCR standards, SOPs, and project workplans.
Key Responsibilities
- Support the ASR Officer in the day-to-day implementation of voluntary return activities, including preparation of trips and follow-up on return movements from Kharaz Camp and other governorates.
- Conduct regular follow-up with returning refugees/asylum seekers to confirm readiness, attendance, and movement schedules.
- Assist in coordinating logistics related to transportation, accommodation, and movement arrangements for beneficiaries.
- Support coordination with the accommodation center supervisor to ensure beneficiaries are properly accommodated prior to travel.
- Assist in monitoring the provision of meals and basic services for travelers during their stay at the accommodation center and report any gaps to the ASR Officer.
- Assist in the verification of passenger lists, ensuring alignment with approved beneficiary lists for each trip.
- Support follow-up on the disbursement of travel allowances and repatriation grants to beneficiaries, in line with CBI and ASR SOPs.
- Report discrepancies or issues related to payments immediately to the ASR Officer.
- Collect, organize, and prepare supporting documents related to each return movement (e.g. passenger lists, signatures, copies of IDs, tickets).
- Maintain systematic filing and archiving of ASR documents per trip/flight, ensuring completeness and easy retrieval.
- Support data entry and updating of ASR tracking tools and databases, in coordination with IM staff.
- Support coordination with transport companies prior to trips, as instructed by the ASR Officer.
- Assist in maintaining clear communication with beneficiaries, accommodation centers, and field teams to avoid delays or misunderstandings.
- Support the ASR Officer during meetings, field visits, and movements when required.
- Contribute to the preparation of weekly and monthly activity updates, including movement tracking and field observations.
- Support accountability to affected populations by relaying questions, feedback, or complaints from beneficiaries to the ASR Officer.
- Ensure respectful, confidential, and protection-sensitive interaction with all persons of concern at all times.
- Perform any other ASR-related duties assigned by the ASR Officer or NMO management, in line with project objectives.
Required Qualifications and Experience
Education
- Diploma or Bachelor’s degree in Social Sciences, Administration, or a related field.
Experience
- Minimum 2–3 years of experience in humanitarian assistance, refugee programs, or field operations.
- Familiarity with voluntary return, protection principles, and humanitarian documentation is an asset.
- Strong organizational skills and attention to detail
- Fluency in Arabic required; basic English preferred.
Skills
- Strong coordination, communication, and organizational skill.
- Ability to work with diverse stakeholders, including authorities, and communities .
- Strong reporting and data management skills
